Effective Date: September 24, 2026

1. Overview

MeetRoll ("we", "our", or "the add-on") is a Google Meet Add-on designed to assist meeting hosts, educators, and organizers in logging and reviewing participant attendance. We are committed to protecting your privacy and ensuring you maintain complete ownership and control over your meeting data.

2. Data We Access & Use

MeetRoll interacts only with Google APIs, on your instruction, using OAuth 2.0. We request only the permissions needed to provide attendance tracking:

  • Google Meet Space Read-Only (https://www.googleapis.com/auth/meetings.space.readonly): Used to find the active conference for the meeting you are in, and to read the participant list and each participant's session join and leave times (conference records, participants, and participant sessions). MeetRoll uses this to show each participant's display name, first join time, last leave time, total time present and current status. MeetRoll does not access recordings, transcripts, chat, audio or video, and does not create, change or end meetings.
  • Google Drive Per-File Access (https://www.googleapis.com/auth/drive.file): Used to create, find, read and update only the attendance spreadsheet that MeetRoll itself creates in your Google Drive. MeetRoll cannot see or modify any other file or folder in your Drive.
  • User Email (https://www.googleapis.com/auth/userinfo.email): Used only to display the signed-in organizer's email address in the add-on side panel, so you can confirm which account the attendance file is saved to.

Attendance data includes the display names and join/leave times of other meeting participants. Meeting organizers are responsible for informing participants where required by applicable law or organizational policy.

3. Data Storage & Sharing

  • MeetRoll does not operate a database or backend that receives, stores or processes your meeting data.
  • Attendance is fetched directly from Google APIs into your browser, calculated in your browser, and saved to your own Google Drive.
  • We do not sell, share or transfer Google user data to any third party.
  • Our website is served as static files. The hosting provider may keep standard server logs (such as IP address and browser type) for the site itself; these logs do not contain Google user data.
  • MeetRoll accesses only raw Google user data (participant display names, join and leave times, and your email address). It does not create or store aggregated or anonymized datasets, and no raw or aggregated Google user data is shared with any third party."

4. How We Protect Your Data

  • Encryption in transit: All communication between your browser, the MeetRoll website, and Google APIs uses HTTPS/TLS.
  • No server-side copy: Because attendance data never reaches MeetRoll servers, we cannot access, view, or lose it, and there is no database to breach.
  • Short-lived, in-memory access tokens: Your Google OAuth access token is held only in browser memory for the current session. It is never written to storage, never sent anywhere except Google APIs, and expires automatically (typically after about one hour).
  • Least-privilege access: We request only the three scopes described above. The Drive scope is limited to files created by MeetRoll.
  • Private by default: The attendance spreadsheet is created in your own Drive and protected by your Google Account's security and sharing settings. MeetRoll does not change its sharing settings.
  • Minimal browser storage: The only data saved in your browser is the Google Drive file ID linked to a Meet code. No names, times, tokens or emails are stored.

5. Retention & Deletion

MeetRoll retains no attendance data. Attendance spreadsheets stay in your Google Drive until you delete them. Revoking MeetRoll's access does not delete existing spreadsheets, so delete them in Drive if you no longer want them. Clearing your browser's site data removes the saved Drive file ID.

6. Google API Services User Data Policy Compliance

MeetRoll's use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements:

  • We only use Google user data to provide or improve user-facing features that are prominent in the add-on's interface.
  • We do not transfer Google user data to third parties, advertising platforms, data brokers, or information resellers.
  • We do not use Google user data for personalized, retargeted, or interest-based advertising.
  • We do not allow humans to read Google user data unless you give explicit permission for a specific troubleshooting issue, or as required by law.
  • We do not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models.

7. Local Storage

The add-on may store minimal preference and caching data (such as the Google Drive file ID corresponding to a recurring Google Meet code) in your browser’s localStorage. This ensures that subsequent classes conducted with the same meeting link append attendance tabs into the same spreadsheet file without unnecessary Drive lookups.

8. User Control & Revoking Access

You have complete control over the permissions granted to MeetRoll. You may revoke access at any time through your Google Account security settings at:

https://myaccount.google.com/permissions

9. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect modifications to the add-on or relevant legal standards. Updates will be posted on this page with a revised effective date.
